Purchasing

What this is

One place that says what we order, exactly how it is specified, and who we order it from. Anyone who needs to buy something starts here.

Same card.
Same finish.
Every property.

A property manager should never have to guess whether the business cards are matte or glossy, or which vendor to use when the order is needed on Friday. The specification is locked here. The vendors sit beside it with their real cost and their real lead time.

How to use it

Rules of the catalogue

  1. The specification is not a preference.
If the card says 16pt uncoated matte, order 16pt uncoated matte. The point is that a resident meets the same company at every property.
  2. Cheapest is not always right.
Each item shows its lowest price and its shortest lead time separately, because they are rarely the same vendor. If the order is needed this week, pay for the days.
  3. Put the date on the price.
Write the date you confirmed a cost in the vendor's note. A price with no date is a guess.
  4. One vendor is a risk, not a relationship.
Any item with a single vendor is flagged above. When that vendor is out of stock the week you need it, there is no plan B.
  5. Say where it is bought.
Through AppFolio means it lands on the property's books. Outside AppFolio means somebody is carrying it on a card and expensing it. Both are fine. Not knowing which is not.
